▼The information you can register
You can enter the following 5 kinds of information when you register a member.
・Email address (mandatory information)
・Name (mandatory information)
・Employee number
・Department
・Employment type (mandatory information when registering members via CSV)
▽E-mail address (mandatory information)
・A CSV template displays "mailAddress."
・This is a mandatory piece of information.
・You can enter up to 256 letters. Half-width alphanumeric letters and signs can be included.
※Please use half-width @ sign.
※You cannot use the same email addresses multiple times for registration.
Please use a different email address for each user.
・This information is visible to the admins only.
▽Users' nicknames
A user's email address before "@" is their default nickname.
Each user can set up their own nickname. Click here for more details.
※When you download a CSV file, it won't include nicknames. CSV files only indicate names ("fullName").
You can let each user set up their own nicknames while leaving their names in their accounts.
Please advise users of how your organization will be handling nicknames.
Posts will display the involved users' nicknames.
You can choose to display nicknames on posts and actual names on CSV files.
▽Name (mandatory information)
・A CSV template displays "fullName."
・This is a mandatory piece of information.
・You can enter up to 256 letters. Hiragana, Kanji, half-width alphanumeric letters and signs can be included.
・Names can be changed after registration.
▽Employee number
・A CSV template displays "employeeCode."
・This is an optional piece of information.
・You can enter up to 10 letters. Full-width as well as half-width alphanumeric letters and Hiragana can be included.
・Employee numbers can be changed after registration.
・This information is visible to the admins only.
▽Department(Department Codes)
・A CSV template displays "departmentCodes."
・departments need to be pre-registered here before adding them to members.
・This is an optional piece of information.
・You can add up to 10 departments per member.
・Please divide departments with commas to add multiple departments to a member.
・Departments can be changed after registration.
▽Position
・A CSV template displays "position."
・Positions need to be pre-registered here before adding them to members.
・This is an optional piece of information.
・You can enter up to 25 letters for each position.
・Positions can be changed after registration.
・This information is visible to the admin only.
▽Employment type (mandatory information)
・A CSV template displays "employmentType."
・This is a mandatory piece of information.
・Please enter a half-width number between 0 and 7.
・Employment types can be changed after registration.
・This information is visible to the admins only.
There are 2 ways to register members.
1. Register each member individually on Unipos.
2. Register multiple members simultaneously via CSV.
※This function is available on the web platform only.
▼How to register a member individually on Unipos.
> Click "Admin Settings" in the sidebar on the left.
> Click "Member" in the top right-hand corner.
> Click "Members" on the left side.
> Click "Add Member."
> Enter an email address and name. Then, click "Save."
・You can also register a profile picture, employee number, department, position, and employment type.
・An invitation email will be sent to the e-mail address you enter.
(If Slack has been linked to Unipos already, an invitation email will be sent by Slack bot.)
>Once an invitation email is sent out, the member will appear in the list of members under "Member."
※ You can't click "Save"? Below are some errors that could be causing the issue.
・You haven't entered an e-mail address or name. (These are both mandatory pieces of information).
・You have added space before or after an email address.
・You have used a full-width "@", instead of a half-width one.

▼How to register multiple members simultaneously via CSV.
※Departments need to be pre-registered before adding them to members via CSV.
If you upload a CSV file including department information without pre-registering the departments, an error will occur.

※By registering members via CSV, an invitation email will be sent to them as soon as a CSV file is uploaded.
>Click "Admin Settings" in the sidebar on the left.
>Click "Member" in the top right-hand corner.
>Click "Members."
>Click "Add with CSV."
>Download "CSV Template for Adding Members" and enter required information.
>Choose from Shift_JIS (Japanese) or UTF-8 based on the character encoding of your file.
※If you need to use old-style kanji characters, choose UTF-8.
・You can register the following 6 pieces of information when you register members:
- Email address (mandatory information)・Name (mandatory information)・Employee number, position, department, and employment status (mandatory information).
- To confirm more detailed examples and letters you can use, please see the CSV screen or this Help Page.
>Click "Choose CSV file" to upload a CSV file.
>Choose from Shift_JIS (Japanese) or UTF-8 based on the character encoding of your file.
※ You need to choose the same character encode as the file format you upload. An error will occur if they don't match.
>Click "Add."
>Once the registration is completed, a message will be displayed in the bottom left-hand corner of the screen - "CSV file has been successfully processed."
・Click "Confirm results" to see the details.
>You're good to go!
Invitations to join Unipos will be sent to the registered email addresses.

If the registration fails, the following message will be displayed.
・If you click "Confirm results", you can see the details.
・If this error happens, please re-create the CSV file using a template and upload it using the process outlined above.
※Please refer to the following page if your CSV file isn't processed.
▼A user's authority at the time of registration
All users are invited as "regular users" at first.
If you want to change some of the users to admins, please change information from the Admin Settings > "Authority."
